You will play a lead role in:

  • Coordinates fundraising opportunities on Teacher In-Service and Planning Days (usually 4 per year)
  • Writes blurbs for the PTA newsletter, Social Media, Konstella
  • Edits the weekly PTA Newsletter written by the Secretary
  • Supports the President as needed; fill in for General PTA meetings, attend meetings with principal, miscellaneous tasks
  • Assists in Dine-Out, No-School Events and Spiritwear fundraisers

  • Works in cooperation with the President and Vice President, to compile and produce the weekly newsletter
  • Takes minutes at the board and general PTA meetings
  • Gathers signatures for approval of the meeting minutes
  • Safely stores documentation of the meeting minutes

Treasurer

  • Keeps up-to-date on nonprofit financial issues by reading relevant materials and pursuing appropriate training
  • Assists in developing the budget
  • Manages the funds of the unit and leeps an accurate and detailed account, in the moneyminder
  • Prepares a monthly bank reconciliation and submit copies to the secretary and president
  • Submits a treasurer's report at regular meetings of the association. The report should include: the total balance on hand at the beginning of the month covered by the report, the separate amounts received and credited to the general fund, dues from state, national and any other PTA dues collecting entity in your state's structure, the special funds (if the association carries any special funds such as a scholarship or endowment), other receipts, itemized disbursements, the balance on hand in each fund, and the total balance on hand at the end of the month. Is prepared to answer all questions promptly, and have the records available at the meeting
  • Receives all monies for all accounts - local, state, and national per capita dues, gifts, etc.
  • Issues reimbursements and check requests
    Deposits all monies in a bank approved by the executive committee/ board of the association
  • Pays all authorized bills by check. Two signatures should be required on all checks
  • Manages cash flow, keeping an eye on the bank balance before authorizing payment of budgeted expenditures
  • Prepares and arranges for annual audits, preserving all check requests and authorizations, receipts, bank statements, canceled checks and other supporting financial documents
  • Transfers all financial records to the incoming treasurer in a timely manner, including the last audit report, budget, ledger, register, authorizations, and bank statements with canceled checks, deposit slips, receipts/bills, meeting minutes, treasurer reports, and other supporting financial documents
  • Retains financial documents, such as canceled checks and paid bills, according to generally accepted accounting principles

  • Think of new ways to market Woodstock PTA events and fundraisers
  • Creates posters, flyers and social media posts (Canva) for Woodstock PTA events, in both English and Chinese
  • Manages Facebook and Instagram social media channels
  • Maintains the PTA bulletin board

  • Manages and maintains the PTA website, board emails and group forum.
  • Manages software and subscriptions
  • Is available for on-site technical support during meetings and events
  • Works with the Marketing Coordinator to keep the Woodstock school community informed and connected to the PTA

  • Responsible for entering all PTA yearly membership information into the Oregon PTA database, also soliciting business sponsor/members from local businesses
  • Works on increasing membership within the school community and broader community
  • Maintains Konstella PTA calendar

Volunteer Coordinator

  • Works with the PTA president, principal and teachers to coordinate volunteer assignments at the school to support student success.
  • Collaborates with PTA board members, teachers and administrators to assess and identify how parents/guardians and community members can get more involved at school as volunteers.
  • Oversees volunteer recruitment, training and assignments.
  • Promotes PTA goals, membership and activities as a PTA committee officer
  • Maintains a database of volunteers and provide these to board members and chairs as needed.
  • Recruits potential room representatives/leads for all teachers.
